Candidate Privacy Policy

What is the purpose of this notice?

Datachoice Solutions Ltd t/a Geckoboard (“Geckoboard”, “we”, “us” or “our”) is a “data controller”. This means that we are responsible for deciding how we hold and use personal information about you. This privacy notice tells you what to expect when Geckoboard collects personal information or when you provide personal information to us for recruitment purposes.

Data sharing

Why might you share my personal information with third parties?

We will only share your personal information with third parties for the purposes of processing your application: for example, with other entities within the group, our applicant tracking system and technical recruiting platform. All our third-party service providers and other entities in the group are required to take appropriate security measures to protect your personal information in line with our policies. We do not allow our third-party service providers to use your personal data for their own purposes. We only permit them to process your personal data for specified purposes and in accordance with our instructions.

Data retention

How long will you use my information for?

If you are successful, the information you provide during the application process will be retained by us as part of your employee file for the duration of your employment plus 7 years following the end of your employment.

If you are unsuccessful following assessment for the position you have applied for, we may seek your explicit consent to retain your details in our talent pool on the basis that a further opportunity may arise in future and we may wish to consider you for that. If you provide consent, we would proactively contact you should any further suitable vacancies arise. In that event, we will ask for your renewed consent every 2 years.

We will use reasonable endeavours to ensure that your personal data is maintained and up to date. However, we ask you to inform us of any and all changes to your personal information to ensure that it is up to date and we will update or delete your personal information accordingly.

Data security

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need-to-know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

You have the right to withdraw your consent for processing for that purpose at any time. To withdraw your consent, please contact us by emailing people@geckoboard.com. Once we have received notification that you have withdrawn your consent, we will no longer process your application and, subject to our retention policy, we will dispose of your personal data securely.
